Cancellation & Rescheduling Policy

We understand that sometimes unexpected circumstances arise, and we want you to know that we are here to support you. However, please be aware that rescheduling your session will incur additional costs. We value the time and talent of our team members, and rescheduling requires us to reserve their services again, which incurs additional expenses.

Our retainer fees cover the planning, portrait services, and reserved schedule for our professional photographer, editor and hair and makeup artist at Jennifer Dworek Portraits. Once your session has been booked on my calendar, the retainer fees become non-refundable. If you need to change your session date, you will be required to book a new session.

In emergency situations, we may consider approving a reschedule opportunity for you. However, please note that there will be fees associated with rescheduling. This is because we need to reserve all your professional services again, and their time is just as valuable as yours. Therefore, rescheduling incurs additional costs for both parties.

For Full Studio Weekday Sessions, approved reschedules within 72 hours will have a non-refundable charge of $250 to reserve your preferred day and time on our calendar. Please select your day and time carefully to ensure it fits into your schedule. To be eligible for this discounted reschedule, services must be rescheduled for a future date within 10 days of your cancellation. Approved reschedules less than 72 hours in advance will incur a $250 reschedule fee. Please note that not all reschedules under 24 hours will be approved.

In the case of COVID-related reschedules or flu-related reschedules, our regular reschedule policies apply. Approved reschedules within 72 hours will have a $250 reschedule fee, while approved reschedules less than 24 hours will have a $500 reschedule fee.

For inclement weather, we follow the Erie School District schedule. If they close due to weather-related issues, there will be no charge for rescheduling. Your safety is our utmost priority, and if it's not safe for you to be out, it holds the same value for our team.

If you need to reschedule your session, please reach out to us as soon as possible. We work with contracted vendors who run successful businesses, and when you are on our calendar, you are also on theirs. Let's be respectful of their time and talent. Reschedule requests will be sent to a rebooking calendar link, and once you pay the rescheduling fee, you can proceed with rescheduling. Please note that cancellations less than 72 hours from the booking day and time will not be honored for reschedule requests, but you can book a new session. Kindly note that not all reschedule requests are approved.

If you need to cancel or reschedule and have already made a pre-payment, the amount paid will be converted into a store credit. This store credit will remain in your account for 12 months from the date it was received and can be used to reschedule, book a new session outside the reschedule invitation timeline, or purchase add-ons for your newly booked session. Cancellations made 30 days before your shoot day are eligible for a refund, minus the payment processing fees (ranging from 15-35%). Refunds are processed within 30 days of your originally scheduled session date. Cancellations made less than 30 days before your session will result in a store credit valid for 12 months from the date it was received.

The additional cost for rebooking your session is necessary because we work with the best professionals in various industries to provide you with exceptional services. When you need to reschedule, we need to secure their services again on a new day specifically for you. This incurs additional costs for us, ensuring that their time is compensated for the service they provide to you and our studio. Additionally, please note that we do not reschedule a rescheduled appointment.

If you anticipate being late for your session, please inform the Jennifer Dworek Portrait team as soon as possible. Hair and makeup start promptly at 9:00 am, so if you are unable to arrive at the studio by that time for your 9:00 am session, we will release your hair and makeup artist, and you will need to reschedule your session. We understand that unforeseen circumstances such as traffic delays can occur, so please allow yourself extra time to ensure you are in the hair and makeup chair by 9:00 am. Session reschedules are not moved to the back of our queue but are accommodated on a flex day specifically reserved for emergencies like yours.

Due to the highly customized nature of the photography business, we do not permit refunds after your order is placed.
